Overview of the Role
Our internal healthcare agency client is seeking a Project Manager to join their team! You will be responsible for coordinating, scheduling, and executing print and digital projects within a fast-paced in-house agency environment. This role supports account and creative teams by managing project timelines, maintaining documentation, and ensuring deliverables remain on strategy, on schedule, and within budget. Success requires exceptional attention to detail, strong communication skills, and the ability to manage multiple initiatives simultaneously.
The Basics
- Duration: 1-year
- Hours: 40 hours/week, Monday through Friday
- Location: Lake County, IL (Mettawa area)
- Schedule: Hybrid - onsite Tuesday, Wednesday, and Thursday; remote Monday and Friday
Top 3 Required Qualifications
- Recent advertising agency experience (within the last 2 to 3 years) supporting account/client services
- Ability to manage multiple projects at varying stages, with strong adherence to timelines
- Extremely detail-oriented with proactive problem-solving skills and a client-service mindset
Other Qualifications
- Experience developing and maintaining project timelines
- Ability to work cross-functionally without direct authority
- Strong note-taking, documentation, and communication skills
- Understanding of print and digital project workflows
- Adaptability in a high-volume, fast-paced environment
- Proficiency with project management and workflow tools (such as Workfront and Kantata/Mavenlink)
- Bachelor degree required
Nice-to-Have (Not Required):
- Digital project experience
- Pharmaceutical marketing experience (last 2 to 3 years)
- Print-production experience
Key Responsibilities
- Project and Process Management
- Manage multiple print and digital projects simultaneously from initiation through delivery
- Build and maintain project schedules, allocate resources, and track milestones to ensure deadlines are met
- Lead regular status meetings; capture and distribute clear action-oriented notes
- Route projects through internal workflow and approval systems
- Prepare assets and documentation for medical, legal, and regulatory review processes
- Partner with studio, programming, and creative teams to advance work
- Act as primary contact for third-party vendors, sharing updates and resolving issues
- Maintain organized project documentation (spec sheets, folder structures, estimates, and more)
- Financial Management
- Track time daily
- Assist with estimate development
- Support billing processes and adhere to financial policies

- Communicate clearly and concisely
- Prioritize tasks and manage competing timelines
- Maintain a positive, organized, and solutions-oriented work style
- Collaborate closely with account and creative teams on project initiatives
In this position, you may have access to client or customer systems, confidential and/or proprietary information or data, including medical data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment. Additionally, drug products may be present in the workplace.
