Office Manager Job Description   Atema is an internationally specialized quality management consulting firm with a specialty in the construction industry sector. Our clients range from state and toll way authorities that are bridge owners, to large general contractors, bridge fabricators and erectors. Our associated company DOT Quality Services provides auditing services, and is a Certification Body for ISO 9001 and ISO 3834, AWS D1.5 and D1.1.   We are looking for a reliable Office Manager to work at our Chicago headquarters to organize and coordinate administrative duties to ensure the workplace runs smoothly. Along with office management, this position will also be required to do tasks ranging from administrative to executive level work. No assignment is considered “too small or too complex.” Successful candidates will have excellent customer service and must be outcome-oriented. Candidates should possess ability to work in a fast paced environment. Strong attention to detail is essential. This position will be fully engaged and busy from the first day and we guarantee “there will never be a dull moment.” One should have the confidence to thrive in an ambiguous environment – as we grow. Must demonstrate positive attitude taking on tasks large or small. People would describe you as extremely organized, self-directed, great at multi-tasking, disciplined, and focused and able to build a team. You contribute positively to the working atmosphere and are easy to talk to. Supervisors have commented on how well you have completed tasks that exceed expectations.   We would prefer an individual who has either: worked in Construction/Engineering industry, or worked as a C-level Executive Assistant Skills: Excellent communication skills, writing skills, well-versed with Microsoft Office (especially Word and Outlook), strong organizational skills, and Time Management. Demonstrates high level of professionalism; discretion when handling confidential; and sensitive information.    Responsibilities/Duties: Maintain knowledge of business operations day to day Monitor office operations Creating and implementing new administration systems Supervise administrative personnel Serves as the go-to for office inquiries and conflicts Manages staff schedules Organize office operations and procedures Work with HR to create, update, and maintain office policies as necessary Screen calls and help clients with initial questions about Atema services. Assure that appropriate follow up is executed with those clients Assist with maintaining CRM database for clients as new information is encountered Work to meet deadlines and fulfill objectives in a timely manner Manage client documentation projects coordinating staff resources and client web meetings Prepare and modify documents including correspondence, reports, drafts, memos and emails Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics Maintain customer confidence and protect operations by keeping information confidential Editing forms and templates Maintain staff and corporate confidentiality   Requirements and Qualifications: Bachelor's degree in Business Administration preferred 5+ years’ experience as an administrative assistant Knowledge of office administrator responsibilities, systems and procedures Attention to detail and problem solving skills Strong Composition Skills and Proficient Skills using (Word, Outlook, Excel, Visio, PowerPoint, Adobe Acrobat Pro, GoToMeeting) Professional demeanor Strong problem solver and analytical thinker   This position offers benefits including, medical, dental, paid vacation, paid sick days, and 401k.
