Job Description The Administrative Assistant, performs advanced and diversified administrative and clerical support for the Vice President of MMCS and his/her leadership team. This individual will be entrusted with handling sensitive and confidential matters and perform support functions which require a broad and comprehensive knowledge of company policy and procedures. They also structure and organize activities to facilitate the efficient operation of the department. The position is most suited for an individual who can handle multiple tasks and work quickly and effectively to organize data and meet deadlines. Complete confidentiality and absolute discretion are mandatory for this position. Duties will include, but are not limited to: * Heavy calendar management for a Vice President, Sr. Director, and leadership team. * Creation, Review, Refinement, Analysis of Microsoft Office Documents (Excel, PowerPoint, etc.) * On-boarding all new employees to the team, ordering laptops, software, hardware, cell phones, etc. * Coordinate office moves. * Managing and ordering office supplies, printers, copiers, etc. * Submit IT requests as needed for department. * Expense reports, booking travel, filing, presentations and copying, as needed. * Meeting coordination and support department communications to include Town Halls, video meetings, and other events. * Work with facilities to manage the team and building's needs. * Maintain department organization charts * Attend meetings and record minutes * Order catering for events and meetings as needed Required Qualifications - 2+ years of administrative assistant experience managing calendars for multiple individuals in Senior Director or VP levels and above - Must have excellent Microsoft Excel experience and work with pivot tables and vlookups Preferred Qualifications - Prior experience supporting executive levels - Strong interpersonal communication skills (Written\Verbal) - Must be able to communicate effectively with all levels and prepare effective written documents. - Must be self-directed and possess excellent organizational skills. - Experience developing ways of accomplishing goals with little or no supervision, working autonomously to complete objectives and determine when escalation of an issue is necessary. - Ability to manage multiple priorities simultaneously and experience coordinating and scheduling multiple events simultaneously. - Proven time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates. - Experience building and maintaining relationships within a team. - Expert proficiency and advanced level skill with Microsoft Office programs including Outlook, Excel, Word, and PowerPoint.
