Employment Status: Full-time, Temporary "Non-exempt" position (with the possibility of converting to probationary). Work Schedule: Monday-Friday, 8:00 am to 5:00 pm; Summer 4/10 Hours Monday-Thursday 7:00 am to 5:30 pm. First Review Deadline: This position will remain open until filled. Under the supervision of the Director of Academic Programs, the PACE Program Coordinator will provide support functions for Professional and Continuing Education (PACE) programs. Duties will include coordinating all administrative aspects of PACE courses and programs with supervisor's support as needed, prepare program enrollment reports and correspondence, facilitate and support daily course offerings, utilize office administrative technology to facilitate program support and act as a resource to CEGE colleagues. The PACE Program Coordinator will maintain, track and process faculty contracts, training agreements, registrations, and course builds. The incumbent will also answer phones & field questions from student inquiries related to PACE Programs, provide student service support for all programs in PACE, and reconcile problem registrations. The incumbent will assess program performance by creating and collecting students' feedback and monitoring students' progress throughout each delivered program or class. The incumbent will proctor exams and provide administrative support for evening and weekend programs. Additionally, the incumbent may provide support for additional summer programs. The PACE Program Coordinator will also coordinate tabling and other marketing activities, coordinate and schedule rooms, and participate in education fairs for the recruitment of students. The incumbent will assist with updating marketing material, PACE website, and social media platforms. Additionally, the incumbent will maintain student data in CRM and PeopleSoft, and other related duties as assigned within the Professional & Continuing Education Department.
High School Diploma, G.E.D. or equivalent and three (3) years of experience in general office clerical/administrative work.
Thorough knowledge of office methods, procedures and practices.
Thorough knowledge of correct English, grammar, spelling, and punctuation.
Thorough, detailed knowledge of applicable university infrastructure, policies and procedures is required.
Thorough knowledge of office systems and the ability to use a broader range of technology, systems, and software packages is preferred.
The ability to independently handle multiple work unit priorities and projects is required. The ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist is required.
The ability to perform standard business math such as calculate ratios and percentages, track financial data and make simple projections is required.
The ability to draft and compose correspondence and standard reports is required.
The ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those of sensitive nature is required along with the ability to work cooperatively with a diverse group of people.
A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
