Receptionist

General Job Description
The Receptionist is responsible for maintaining the front desk, greeting visitors and answering phone calls.

General Responsibilities
Business Process Analysis and Documentation: Research, analyze, and document the electrical project process at Weifield finding ways to be more efficient and profitable.
Identify Solutions for Improvement in the Organization: Through process analysis, this individual shall determine areas of improvement in terms of efficiency and company effectiveness, developing appropriate solutions.
Information Dissemination: Develop and facilitate high-quality and high-frequency communications throughout the company. Investigate and implement tools to achieve these goals.
Company “Handyman”: Act as an internal consultant to help multiple persons and departments within the organization develop programs and solutions to enhance efficient and/or effectiveness.
Training/Mentoring: Promote the professional growth of the team. Continually pursue opportunities for personal career/training development.
Industry Awareness: Continually seek industry and market information to provide Weifield with the information necessary for successful business development.
Job Specific Responsibilities
Keep front desk tidy and presentable with all necessary material (pens, forms, paper, etc.)
Greet and welcome guests
Answer questions and address complaints
Control access to building in the AM and PM, lights, locks
Answer all incoming calls and redirect them or keep messages
Receive letters, packages, etc. and distribute them
Contact for getting daily deliveries from the office to the Weifield drivers to various job sites.
Prepare outgoing mail by drafting correspondence, securing parcels, etc.
Check, sort and forward emails and messages
Maintain and distribute communications regarding babies, anniversaries, birthdays, weddings, sympathy, etc
Manage television screen and add details for birthdays
Assist HR with catering of orientation
Monitor office supplies and place orders when necessary
Maintain kitchen and prep conference rooms for meetings
Help coordinate company events as well as collect RSVPs for various company functions (Top Golf, Holiday Party, Rockies Games, Paint Ball, Johnson Truck Pull, Tough Mudder, holiday party, etc.).
Arrange for the engraving of nameplates on plaques in the lobby area.
Fill vending machines in both the office and warehouse buildings. This includes inventory of vending machine contents and placing orders through purchasing. Also responsible for ordering bottled water for company functions and keeping the main conference room refrigerator stocked with drinks.
Arrange client holiday gifts. This can include labeling, gift bagging, stuffing, etc.
Arrange getting raffle gifts to employee winners (company holiday party) and client winners (client appreciation party).
Contact for copier repairs and toner orders.
Notify Purchasing if the supply area is out of (or short) on any office supplies.
Enter all employee PTO (personal time off) requests into Outlook PTO calendar. Make hard copies and file in binders.
Proofread company’s monthly newsletters and create labels for all employees. Stamp and mass mail. Proofread other company material as needed.
Take up other duties as assigned (travel arrangements, schedules, etc.
Qualificatio ns/Skills Required
Proven experience as front desk representative, agent or relevant position
Familiarity with office machines (e.g. fax, printer, etc.)
Knowledge of office management and basic bookkeeping
Proficient in English (oral and written)
Excellent knowledge of MS Office (especially Excel and Word)
Strong communication and people skills
Good organizational and multi-tasking abilities
Problem-solving skills
Customer service orientation
High School diploma; additional qualifications will be a plus
Job Specific Accountabilities:
Handles day to day activities of the front desk
HR point of contact for PTO
BD/Marketing support; birthday cards, anniversary cards, company events, mailers
Stock vending machines, maintain front plaques, assist with Special Projects as assigned
Reporting
The Receptionist reports to the HR Manager.

Noise level in the work environment is usually moderate as in a typical office setting.
