FirstSpear, LLC is currently seeking a Senior Executive Assistant for our growing company in Fenton, MO.
You will work directly for our CEO, bringing productivity, consistency and organization to their fast-paced world.
Candidates who have “jack-of-all-trades” abilities, patience, and a keen sense of detail will succeed in this position. Day-to-day duties can make this role potentially challenging. We are seeking a skilled business manager who will work to keep things organized, punctual, and productive. Someone who can juggle multiple tasks with little direction and, on any given day, act as a confidant, executive secretary, business analyst, event planner, project manager, mind reader or advisor is needed.
Every day will be different. An intelligent, resourceful candidate with high energy and a willingness to learn and grow with the company is essential. Long hours and travel will be required.
Essential Functions
Communication & Interpersonal skills
Demonstrate strong written and verbal skills.
Liaise with people, including other staff, clients, suppliers, etc.
Ensure clients are satisfied and all interactions are properly handled.
Respectfully give and receive feedback.
Adapt with ease and find solutions.
Be clear, concise, and direct.
Representation
Represent the CEO/Executive team to internal and external parties as required.
Demonstrate discretion, accountability, and preparedness.
Administration skills
Serve as a central point of contact for inquiries.
Understand objectives and priorities and anticipate changes.
Handle calls and email correspondence.
Expertly manage calendar/schedule and quickly shift priorities as needed.
Provide reminders for important tasks and deadlines.
Draft reports, presentations, and other business documents.
Collate and file expenses.
Assist with other miscellaneous office duties as needed.
Special projects as needed.
Computer skills
Set up and maintain email accounts, digital calendars, and more.
Compile and prepare reports.
Manage databases and filing systems.
Understand how to research and/or track down hard-to-find information.
Events
Coordinate events and social gatherings.
Schedule meetings and appointments.
Book and arrange travel, transport, and accommodations.
Life Maintenance Tasks
Help complete everyday tasks such as reading mail, paying bills, running errands, etc.
Maintain a positive attitude, calm demeanor, and good disposition.
Required Education and Experience
Prior experience directly assigned to the United States Special Operations Command (USSOCOM); or
Prior military experience with a rank of noncommissioned officer (NCO) or above and a bachelor’s degree (current MBA students encouraged to apply).
A background in sales, communications, or public relations could be helpful. There is some on-the-job training, but we expect you to be able to learn quickly on your own.
