Job Description

We seek to hire a Construction Administration Coordinator in our Virginia Beach, VA; Roanoke, VA; or Charlotte, NC offices who will be responsible for assisting Project Managers and/or the Principal in Charge with the processing of project documents during the bidding and construction phases of a project.


General responsibilities include but are not limited to the following:

  • Assisting the Project Manager with the preparation and administrative processing of construction Contract Documents
  • Assisting with the bidding phase of projects, including preparing addenda
  • Processing of construction administration submittals and requests for information (RFI) utilizing Newforma project information management software
  • Tracking change order proposals, assisting in the proposal evaluation process and preparing change orders utilizing Newforma project information management software.
  • Assisting with preparing requests for proposal (RFP) from contractors
  • Establishing, updating, and maintaining detailed project information in the firm’s software applications
  • Preparing various project management reports to monitor project status during construction
  • Preparing for and participating in project construction meetings and others as required
  • Providing general administrative support as requested by Project Managers, Principals and project team members
  • Communicating with clients, design team members, and others as required


  • A high school diploma or GED equivalent is required
  • Post high-school education in the following subjects is desirable: 
    • Business Administration
    • Office Administration
    • English
    • Accounting
    • Bookkeeping
  • Associates or Bachelors Degree in a business/accounting/finance-related field is desirable

Licenses, Certifications and Accreditations

Additional consideration will be given for candidates who have obtained the following certifications:

  • Certified Design Firm Administrator (CDFA)
  • Construction Documents Technologist (CDT)
  • Construction Contract Administrator (CCCA)

Software Skills

A Construction Administration Coordinator should be able to effectively utilize current company software programs for word processing, e-mail, and project information management.  Current programs include:

  • Microsoft Word
  • Microsoft Excel
  • Microsoft Outlook
  • Microsoft Teams

Experience in the use of the following programs is desirable:

  • Deltek Vision
  • AIA Contract Documents
  • Newforma Project Center
  • Bluebeam

Career Experience

A Construction Administration Coordinator should typically have 4 years of administrative experience in an architectural, engineering, or construction firm or 6 years of similar experience that included administrative, accounting, and financial management tasks in a field other than architecture or engineering.

Other Criteria

  • Knowledge of A/E Industry and terms commonly utilized
  • Be knowledgeable with all office equipment:  computers, copiers, printers, scanners
  • Have strong organizational skills and the ability to multi-task
  • Possess excellent written communication skills, being able to prepare effective and concise documents, free of grammatical and spelling errors
  • Possess strong verbal communication skills, being comfortable communicating with senior-level management and design team members
  • Visual acuity (e.g., needed to prepare and analyze data, to transcribe documents, to view a computer, to read, to inspect objects, to operate machinery
  • The repetitive motion of any part of the body
  • Capacity to think, concentrate and focus for long periods
  • Ability to read complex documents in the English language
  • Capacity to reason and make sound decisions
  • Ability to write complex documents in the English language
  • Capacity to express thoughts orally
