Air Controls - Billings, Inc., a family-based and Veteran-Owned Company is Montana’s premier HVAC and Refrigeration Service provider! We are looking for an experienced Service Dispatcher to work with our seasoned team taking incoming calls and helping to facilitate the dispatch of our service professionals to people in need. In this role, it is your responsibility to carefully listen to each caller, obtain vital information over the phone, take note of the schedules of technicians and other service professionals, and swiftly respond to the request.
To excel in this position, all candidates should be able to multi-task in stressful conditions with little supervision. In addition to being an excellent communicator, the ideal candidate will also demonstrate superb organizational and interpersonal skills.
As our Dispatcher, you can expect to:
Schedule service technicians to meet the requirements of all Customers.
Field incoming telephone requests for service and schedule calls in a timely manner.
Input and create service calls into the computer system, and complete when job is finished.
Monitor all preventive maintenance agreement to assure inspections are being performed as per the maintenance agreement and in accordance with the allotted hours.
Keep organized and updated Customer files in a print and Computer System.
Update customer files as information is received from installation. (Extended warranties, equipment info, new customers, etc.)
Maintain customer history files in database
Invoice Customers and aid in Billing Information.
Continually look for areas of improvement within the department and make suggestions to Service Manager.
Perform additional duties as assigned by the Service Manager.
Requirements and Qualifications
Advanced Customer Service Skills
Strong organizational and communication skills
Ability to Multi-task
Experience using Microsoft Outlook and vendor management systems
Experience in a similar role is recommended, but not required
Geographical knowledge of service area or map reading skills
Knowledge of industry is recommended, but not required
High school diploma or GED certificate
Applicants must be reliable, motivated, have verifiable experience & references, and be able to successfully complete a Pre-Employment Drug Screen, Motor Vehicle and Criminal Screening.
