Job Description

Vighter LLC is in need of healthcare providers for Public Health Emergency Support in response to 2019 Novel Coronavirus (COVID-19)

START DATE : < 2 weeks anticipated start date

WORK DURATION: Anywhere from 2-8 weeks, potential to extend based on the requests of the client .

Title: Administrative Assistant (COVID-19)

DUTIES AND RESPONSIBILITIES:

  • Time keeping, Payroll.
  • Staff personnel actions such as benefit changes, employment status, personal information, etc.
  • Accounting functions for contract billing.
  • Maintaining current organization staffing charts by site.
  • Screening telephone calls and visitor contact with management.
  • Screening and answering correspondence for management, which requires independent judgment and discretion.
  • Performing specialized administrative tasks such as providing assistance with preparing contract reports.
  • Establishing task priorities and maintaining an effective work schedule.
  • Preparing administrative correspondence and reports as required.
  • Assisting in financial analysis.
  • Assisting or preparing management and government reports.
  • Auditing various documents to identify and report discrepancies.
  • Ensuring appropriate provider registration in the Central Bill Processing System and assisting as necessary.
  • Ensuring timely submission of all task deliverables.
  • Other duties as assigned.
QUALIFICATIONS:
  • High School Diploma or equivalent.
  • 2 years' of experience in an administrative personnel position.
  • Administration and execution of clerical duties on projects of similar scope, size and type called for in the contract.
  • Demonstrated ability to multi task and customer service experience.
  • Demonstrated ability to read publications, regulations, and directives and takes-action or refers those that are important to the supervisor and staff.
  • Must be able to multi-task, be detail-oriented, be organized and have excellent verbal and communication skills
  • Proficiency with computer and common office equipment, as well as with MS Office products required.
  • Must be able to multi-task, be detail-oriented, organized, and demonstrate excellent oral and written communication skills.
  • Location of services may at times be in remote, austere or challenging environments.
  • Must be able to perform duties in a stressful and high paced environment without physical limitations.
  • Ability to adapt to sudden changes and flexibility in work requirements to include potential shift changes based on operational needs and/or command priorities.

PREFERRED QUALIFICATIONS
  • Minimum, three (3) years of experience in an administrative personnel position.
  • Basic accounting for billing functions.
  • Project administration tasks time keeping, payroll, staff hiring/termination, staff personnel actions such as benefit changes, employment status, personal information, etc.
  • Ability to compose correspondence on own initiative about administrative matters and general office policies for supervisor's approval.
  • Able to anticipate and prepare materials needed by the supervisor for conferences, correspondence, cases, meetings, telephone calls, etc., and informs supervisor on matters to be considered.

PHYSICAL REQUIREMENTS:
  • Work involves sitting and standing for prolonged periods of time
  • May require bending, stooping and lifting as required for patient care and transport
