Position Location: St Louis, MO
The primary role of the Compliance Specialist Quality is to provide knowledge and support for the Concordance Healthcare Solutions Quality System and processes for all facilities. All facilities are licensed as Wholesale Drug/Device Distributor and select facilities (5) are accredited by the National Association of Boards of Pharmacy Verified Accreditation of Wholesale Distributors VAWD in order to license in their home state or to ship into another sates. Understanding of the one (1) unique QA program to meet the requirements for Emergency Preparedness Planning contract to provide support and backup.
The Compliance Specialist Quality Specialist will provide knowledge and support to Operation Managers, Compliance Director and Administrator by maintaining a compliance calendar, scheduling meetings with agendas, taking minutes participating in policy/procedure review, monitoring record keeping requirements and assisting with internal audits and process improvements. This position also files annual reports and process documents from CT Corporation.
Maintain Relationship with CT Corporation's representative to understand agreement, expense and services provided for Concordance's Registered Agent representative and requirements and due dates for SOS registrations and Annual Reports for all Concordance entities.
Register all Concordance entities, holding companies and locations with the Secretary of State, in all required states, to remain in good standing to do business.
Maintain CT database with all pertinent information and file Annual Reports with each state where Concordance has nexus.
Collaborate with VP of Finance and/or Compliance Administrator to initiate revisions with states as business entities and ownership changes are made by Concordance executives. I.e. moves, new acquisitions, status changes with holding companies or other legal matters.
File organizational census reports as requested finance.
Administrative Support for Compliance Requests
Responsible to provide administrative support internal customers/team members to complete customer and vendor surveys, applications, respond to W9 and tax exemptions and other administrative requests.
Quality System Administration
Understand VAWD requirements as well as state and federal laws for Wholesale Drug and Device Distribution.
Schedule and plan compliance/quality meetings. Participate in meetings and policy and procedure reviews with focus on compliance and continuous improvement.
Initiate company-wide training schedule for quality and compliance. Support training as required and coordinate training records with HR or other departments.
Establish system and paper system for filing required records and record retention processes in accordance with Standard Operating Procedures.
Work with Operations Managers and Warehouse Managers to ensure that all facility locations submit the required records each month in accordance with Standard Operating Procedures.
Responsible to follow up and notify Director of Compliance of any locations not current with reporting requirements and the missing documentation.
Support DSCSA Initiatives
Responsible to understand and support DSCSA process in Enterprise System or complementary software systems.
Administrative support and back up for other compliance positions; new account set up, recall processing, licensing and other requirements.
Other duties as assigned.
