Job Description

The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s healthcare, is seeking a strong communicator to provide oversight for chapter services and consultative outreach to AAP chapters and districts on related organizational, leadership, and management issues, including the Chapter Communication System. This position will create internal processes and educational content to enhance the leadership development of chapter officers and chapter staff, plus represent chapters and districts to the internal organization as well as outside organizations and agencies. Directing chapter programs, staffing the Chapter Executive Directors Steering Committee (EDSC) with related activities, and promoting the effective exchange of information between chapters and the national AAP, are essential functions of this role.

1. Recommend association management best practices to chapters relating to budgets, staffing, governance, volunteers, communications, strategic planning, and operational growth.
2. Conduct chapter outreach visits to assess chapters’ organizational effectiveness and provide recommendations for strategic direction.
3. Facilitate strategic planning sessions with chapter and district leaders to assist chapters in defining business objectives, improving operations, and determining key priorities.
4. Consult with AAP staff teams on best practices for chapter engagement and strategize on effective implementation of programs and initiatives.
5. Represent chapters and districts in a liaison capacity to AAP staff as well as outside organizations, as needed.
6. Staff the EDSC, including planning and executing the annual Chapter Executive Directors’ Conference.
7. Build internal capacity for providing assistance to chapters by reviewing staff roles and identifying efficiencies.
8. Facilitate focus groups with AAP members and conduct interviews with chapter officers and staff to measure effectiveness of chapter services and determine resource needs.
9. Conduct strategic planning sessions for chapters on an as-needed basis.
10. Oversee the Chapter Communications System, including staff Intranet portal, weekly Chapter Leader Link e-newsletter, monthly Chapter Chat webinars, and the chapters and districts collaboration site.
11. Conduct chapter needs assessments, including survey design, analysis and presentation of results, actionable insights, and strategic recommendations, and facilitate the fielding of customized chapter needs assessments and analysis of data and election services upon request.
12. Monitor chapter services revenue and expenses, including the Chapter Executive Directors’ annual conference.
13. Manage the relationship with selected association management company that provides services to chapters and all aspects of this program, including development of metrics of success, promotion of services, and ongoing evaluation.
14. Develop new chapter leader onboarding and orientation materials and operationalize the continuum of chapter leader skill-building needs and AAP knowledge to support chapter leaders’ optimal performance.
15. Create publications/tool-kits/webinars for AAP chapters on a variety of association management topics, as identified and needed by chapters.
16. Supervise assigned staff and oversee all administrative services provided to the chapters.

Bachelor’s degree in business, health or public administration, communications, non-profit management or related field required. Master’s degree and/or CAE designation preferred.

At least five years’ related program management experience required, including component relations/volunteer management, focus group facilitation, budget management, and the development and dissemination of communications through various multi-media platforms. Experience working in a health-related or association environment preferred.

Excellent interpersonal, diplomacy, project management, written/verbal communication, public speaking, and organizational skills required, as well as a strong customer service orientation. Must be able to manage and prioritize multiple priorities simultaneously, collaborate effectively with various internal and external constituents, and manage budgets. Strong technical acumen with proficiency in MS Office, collaboration sites (eg, SharePoint), and the ability to learn new technologies essential; experience with desktop publishing, web maintenance software (eg, SharePoint); online communication technology, and social media platforms strongly preferred. Some travel, evening, and weekend work required.
