Job Description

Under direct supervision, the Financial Operations Administrator performs some combination of the following job functions:

  • Documents the department’s financial and accounting policies and procedures, explores alternatives, and determines potential improvements
  • Supports the development of standardized, company-wide and federally compliant financial business systems and procedures for areas such as procurement and expense reporting
  • Reviews accounts payable invoices thoroughly to ensure billings are in accordance with agreements, purchase orders, work orders and packing slips
  • Confirms appropriate documentation and approval are present in invoices
  • Ensures prior balances are accurate and all invoices are paid timely
  • Prepares and obtains signatures on checks before dispersing
  • Reconciles monthly credit card activities to ensure appropriate documentation and approval(s) are obtained
  • Assists in allocating expenses to accounts and cost objectives by analyzing invoices, employee expense reports and credit card purchases to ensure accuracy and appropriateness
  • Maintains accounting ledgers by verifying and posting account transactions
  • Maintains financial security by following internal accounting controls
  • Prepares and issues accounts receivable invoices to customers with regards to both internal standards and the detail and format requested by the customer
  • Maintains financial information, files and records (e.g. copies of paid invoices, checks, documentation, reimbursements, reports, vendor files, receipts, etc.) for the purpose of ensuring the availability of documentation and compliance with established federal accounting standards and internal policies
  • Works with the Business Systems Administrator to improve the company’s billing system (ASIS) and helps increase system efficiency and automation
  • Informs other staff and/or outside parties regarding procedural requirements for the purpose of processing transactions
  • Performs company financial document audits such as expense receipts, invoices and others as needed in anticipation of government accounting and incurred cost proposal audits
  • Maintains and develops detailed cost tracking templates to accumulate and distribute actual costs against proposed costs for Project Managers and Directors
  • Maintains confidential information such as employee rates and company financial data

In addition, the Financial Operations Administrator:

  • Complies with company policies and with applicable laws and regulations
  • Demonstrates professionalism in the workplace
  • Performs other duties as assigned

Job Requirements:

Education and Experience:

  • Bachelor’s degree in Accounting, Finance, or related field
  • 3 years of accounting, billing, or accounts payable and receivable work experience

Position-specific Qualifications:

  • Familiar with Microsoft Office Suite and Adobe Acrobat and experienced in Microsoft Excel
  • Strong organizational skills and attention to detail
  • Good oral and written communication skills
  • Good interpersonal skills and familiar with working in a team-oriented environment
  • Familiar with demonstrating critical thinking and problem-solving
  • Familiar with demonstrating integrity, flexibility, and collaborative approach to work
  • Experienced in maintaining confidential records and information
  • Familiar with basic accounting principles
  • Able to operate effectively across departments within the organization and outside clients and vendors
  • Strong quantitative analytical skills
