WSP is currently initiating a search for an Office Manager / Administrative Assistant (Construction) for our Buffalo, New York office and workeing out of the Wende Construction Field Office.
Duties and Responsibilities:
Provide assistance to New York State Office of General Services (OGS) Project Manager as directed
Attending construction meetings/producing meeting minutes.
Attending event schedule meetings with facility.
Setting up Submittals Exchange website
Facilitate Engineers-In-Change as well as Construction Inspectors with all necessary electronic filing.
Tracking office supplies, Scheduling Meetings.
Posting drawings with RFI's and IB's
Review material related to contract payment
Prepares all correspondence, process timesheets and expense reports; maintains files
Maintains mailing lists and prepare special mailing requests
Prepares and maintains spreadsheets
Other duties as assigned

Minimum of 1 - 5 years of administrative experience to include construction and accounting experience
High School Diploma, Bachelor's degree is preferred.
Contract management experience is required
Demonstrated proficiency in MS Word and Excel; knowledge of Oracle a plus
Excellent organizational and interpersonal skills
Strong verbal and written communication skills
Demonstrate ability to exercise responsible and ethical decision-making regarding company funds, resources and conduct.
Proven ability to adhere to WSP’s Code of Conduct and related policies and procedures
This hire will be contingent upon client selection and successful background check
