Job Description

Western Peterbilt is hiring for a Sales Coordinator. The Sales Coordinator takes ownership of the truck sales process to ensure high customer satisfaction, compliance with laws and regulations, and timely and accurate reporting for management.

Responsibilities

Relay production information between factories and sales teams
Organization and preparation of physical truck files and master truck files in CRM and Karmak ensuring thoroughness and accuracy at all times.
Produce all delivery paperwork for New and Used trucks for assigned region or salespeople
Calculate and understand the application of local sales tax and Federal Excise Tax for each deal.
Monthly report of sales activity and inventory information to management as needed
Assist with monthly flooring audits with OEM or banking agents, including truck location verification, payment status and financing information.
Produce truck inventory reports, and update locations for all units in real time in CRM.
Collection of information and production of monthly Key Performances Indicator reports to Sales Managers
Provide accounts payable support of processing and approving all vendor invoices related to regional or salesmen specific truck sales organization and preparation of master truck files for the calculation of monthly commissions to sales team
Attach all customer signed specifications, purchase orders, and deposits into CRM.
Assist sales team with submissions to factories for Mack/Volvo RSA’s and tracking status of receipt of credits as applicable
Perform licensing and title services on trucks when necessary
Issue local purchase orders for new and used trucks as authorized by management.
Reconcile CRM and Karmak to ensure that all costs are appropriately tracked for each sale.
Utilize project management tool to ensure accuracy and timely completion of each deal.
Take ownership of the sales process to ensure salesmen are following policies and procedures.
Work in a team environment with other regional sales coordinators to deliver high quality customer service.
Acquire and maintain registered public notary license.
Acquire and maintain VIN verification license as applicable.
Produce charge back factory receivable invoices; track payment reconciliation of invoicesFile basic and extended warranties on all new vehicles
Minimum Job Qualifications
Three years office experience

Desired Job Qualifications
2 years experience in accounting
2 years experience in a retail environment
Bachelor's degree
Intermediate to Advanced knowledge of Microsoft Excel, Word, and Outlook
Strong organization and communication skills
