Job Description


The American Academy of Pediatrics (AAP) is looking for an assistant to support our meetings team including the execution of our National Conference and Exhibition (NCE). The event will be held October 2 – 6, 2020 in San Diego, CA with an estimated 16,000 attendees. We will require the assistant to provide on-site support at the event. The AAP and its member pediatricians dedicate their efforts and resources to the health safety and well-being of infants, children, adolescents and young adults.  The AAP has about 67,000 members.  Members include pediatricians, pediatric medical subspecialists and pediatric surgical specialists. 



The individual will assist staff in Convention and Meeting Services under the direction of the Meetings Manager. 

Primary Responsibilities:

-Work with outside vendors to execute staff orders

-Provide logistical assistance with scientific and social programming efforts for NCE

-Organize materials and supplies for shipping

-Manage affiliate requests for NCE

-Assist in preparation and organization of materials for the NCE

-Prepare Emergency Documents for NCE

-Support Logistics for In-House, Educational and Leadership meetings

-General department filing and administrative duties

-Other duties as assigned



We are looking for applicants with proficiency with Microsoft Office, strong interpersonal skills, excellent attention to detail and able to prioritize and multi-task.  Must be customer service focused for members, vendor partners and staff, and must be willing to participate in a collaborative team culture.  Creativity and strong writing skills are important. Applicants must be a current college student or recent graduate majoring in Hospitality Management. The internship is unpaid.  Documentation from their accredited school outlining requirements they must meet to receive course credit must be provided.  Work performed after the internship requirements are fulfilled, will be paid.  This person will also be providing onsite support at the NCE (expenses paid) Monday, September 28, 2020 - Tuesday, October 6, 2020 and some overtime required.
