Harvard Pilgrim Health Care Institute is currently seeking highly motivated individuals to join our organization as a Grant Manager in the Office of Sponsored Programs.Reporting to the Director, Office of Sponsored Programs you will participate with investigators or their representatives, within an assigned portfolio, in the pre-award grant preparation and submission process and administering awarded grants within the guidelines and policies established by HPHC and sponsoring agencies.


  • Review applications for internal and external funding for completeness and facilitate adherence to institutional and agency policy and procedures prior to submission, recommending changes as needed.

  • Manage the post-award administration of awarded grants. Ensure that all requirements are in place, establish accounts, initiate and/or negotiate subrecipient agreements, monitor expenditures, review and approve subrecipient invoices and payments, cost transfers, and requisitions for purchase orders.

  • Monitor policy and procedure adherence for required training, purchase orders, travel requirements, payment requisitions, maintenance agreements, and contracts, where necessary.

  • Collaborates with investigators to obtain pre-approvals when required, i.e., approval for re-budgeting or carry-forward of funds, and preparing required financial reports for funding agencies with the Grants Accountant.

  • Researches and resolves grant related issues as required in collaboration with HPHC/HPHCI administrators or managers, Research Integrity and Compliance Officer and HSC administrator.

  • Bachelor's Degree or equivalent required; one-year related experience in Research Administration preferred.

  • Strong knowledge of financial systems, grants administration, budget planning and monitoring.

  • Knowledge of external funding agencies rules and regulations and appropriate OMB circulars

  • Good judgment, negotiation, and problem-solving skills and able to prioritize and meet strict deadlines.Strong interpersonal and written communication skills; excellent computer skills, including data management, familiarity with Oracle GMS is a plus.
