Job Scope

The Office Manager acts as interface and is the first point of contact to other internal senior leaders and the outside community. This person will support the Chicago Bakery Plant Leadership team as well as three plant cluster leaders, including planning meetings and conference calls; proactively adjusting as needed. This person works regularly with highly confidential and sensitive information.

Additional Responsibilities

  • Manage Invoices, monitor accounts, resolve delinquent accounts, report areas of concern to management team.
  • Maintain general office functions by updating and maintaining databases and files, preparing and processing expense reports, etc.
  • Create general correspondence, including letters, memos, e-mails, powerpoint slides, charts, tables, graphs, business plans, project plans and reports.
  • Prepare and revise meeting and presentation materials for the plant and cluster.
  • Make effective decisions based on data analysis, organizational observations and cost controls.
  • Proactivity identify opportunities for cost savings and operational efficiencies
  • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, coordinating material, etc.
  • Coordinate travel accommodations, including flights, hotel reservations, maps, directions, and ground transportation
  • Provide key support for special projects as needed.
  • Partner with third party vendor responsible for inventory, catering, organization and cleanliness
  • Support teams with mail and shipping needs

  • High school diploma required, college degree or some business classes preferred
  • Required: advanced proficiency with MS Office, SAP, Coupa sytems for paying invoices and overall affinity and interest in new technology
  • Exceptional Excel skills, experience with pivot tables, vLookup, creating formulas, graphs and tables
  • 5 or more years of experience supporting at the executive level. Manufacturing support experience preferred.
  • Excellent organization and interpersonal skills, good judgment and diplomatic
  • Great internal networks and relationships to key stakeholder groups such as Information Systems, Facilities, Human Resources, senior leaders, etc.
  • Dynamic team player, high initiative thriving in a global, diverse environment
  • Must be able to anticipate needs and respond accordingly

  • Exceptional verbal and written communication skills, attention to detail and accuracy
