Job Responsibilities
Under the direction of the Facilities Manager, the Facilities Preventative Maintenance Coordinator is responsible for overall asset management work planning, develops, documents, and establishes the preventative maintenance program for the maintenance of all the facilities equipment and assets within the site including, but not limited to, refrigeration, heating, ventilation, and air conditioning (HVAC), plumbing, fire protection, electrical systems and critical systems (UPS, Generator, ATS) using the Maintenance Connection Computerized Maintenance Management System (CMMS). The Facilities Preventative Maintenance Coordinator is responsible for the accurate and timely collection of equipment data and ensures data is recorded in the CMMS in a well-organized manner so it can be easily retrieved and utilized to facilitate maintenance of the systems, components, and equipment. This position is also responsible for training new Maintenance Connection Administrators and Users at a regional level and rolling out standard workflows for work requests, preventive maintenance program, project request, coordinating inspections, etc.
ESSENTIAL FUNCTIONS:
Develops CMMS preventative maintenance tasks and documents instructions and procedures for the preventative maintenance all equipment on site including but not limited to, mechanical, electrical, heating, ventilation and air conditioning, plumbing, and fire protection systems.
Supports preventive maintenance by assisting in the development, administration, and monitoring of preventive maintenance programs, keeping accurate records in the CMMS on all aspects of the systems such as equipment characteristics, breakdowns and associated repairs, equipment replacements, and required and performed preventative and reactive maintenance, and developing and generating reports to assist in the tracking of maintenance tasks and associated benefits of the preventative maintenance program.
Ensures that contracted maintenance services meet specified results and are appropriately documented in the CMMS.
  • Planning and scheduling recurring preventative maintenance activities in coordination with the facilities supervisor.
  • Asset management and tagging (data entry, change control documentation, maintain assets in system, refrigerant log).
  • Member list management (password reset, remove people that have left the company, user name recovery, for all sites)
  • Provides software training to end users and new CMMS Administrators; serves as liaison for problem solving and escalation. Be able to coach and educate staff on the CMMS functions and best practices for performing tasks. Serves as Tier 1 CMMS support for the facilities team.
  • Develops Preventive Maintenance (PM) procedures and scheduling.
  • Interface with procurement regarding blanket PO's for facility services.
  • Manages work orders in the system, ensure proper creation, planning, update and closure of work orders.
  • Measures and publishes facilities KPI metrics to the management team; interpret data and recommend findings.UPS and Generator service and APCD permit documentation and dashboard management.
  • ISO documentation preparation, management and audit presentation.
  • FM Global site walks, correction and documentation management.
  • Facilities IP Manager Tool for All Facilities IP addresses.
  • Supports Facility Manager with other duties as assigned.

Requirements
  • 1+ years' experience working with CMMS enterprise software and an understanding of standard facilities maintenance work process.
  • 1+ years' experience using Word, Excel, and Power Point, etc.
  • Customer service and project management experience.
  • 1+ years' experience planning, scheduling and auditing overall facilities/maintenance activities.
  • Adaptability - Ability to adapt to change in the workplace.
  • Accuracy - Ability to perform work accurately and thoroughly.
  • Accountability - Ability to accept responsibility and account for his/her actions.
  • Organization - Ability to manage multiple tasks, time and physical space efficiently.
  • Ability to lift up to 50lbs - a physical will be needed prior to employment
  • U.S. Citizenship required
  • High School Diploma or equivalent.
  • Travel up to 10%

Preferences
  • 3+ years working with Maintenance Connection CMMS
  • 3+ years working with Building Automation Systems (ALC, Trane, Delta)
  • Associates Degree or greater
