Job Description

Employment Status: Full-time, Probationary "Non-Exempt" position.

Work Schedule: To be determined.

Position Summary:
Under general supervision, incumbents in the Student Services Professional II classification perform moderately complex professional student service work in that assignments typically require the application of both knowledge and judgment in using the principles, techniques, standards, guides and professional skills characteristic of a particular student service program or activity. This is the first level to require: planning; both interviewing and counseling techniques; judgment to recommend solutions to problems and changes in program procedures; and acting as spokesperson within the area of expertise.

  • Under the general supervision of the Associate Director of Financial Aid Operations, the Financial Aid Advisor interacts with students, parents, and public regarding all aspects of financial aid such as the application process, federal, state and institutional policies and procedures.  Interactions take place on a daily basis in a variety of settings including front counter, telephone, electronica communication (i.e. Email) and during one-on-one sessions. 
  • Incumbent will use professional judgment referrer clients to both internal and external campus resources, when appropriate.
  • Incumbent will need to stay abreast on financial aid related policies, procedures and system-wide regulations.
  • Incumbent will conduct financial aid workshops for students and parents. 
  • Provide clear description of all federal and state programs, eligibility requirements and types of aid available. 
  • Explain the financial aid application process, aid options and method of aid delivery.  
  • Will provide lead work direction to student assistants working in the Palm Desert Campus financial aid office.

The incumbent verifies information students provide on the Free Application for Federal Student Aid (FAFSA).  Using sound judgment, may request, review and evaluate data elements to clear discrepancies based on federal guidelines and where required, recalculate the Expected Family Contribution to determine student aid eligibility.  Data elements must be corrected and sent to the U.S. Department of Education's Central Processing System via an electronic corrections process/ISIR. 

Conduct Review and File Corrections on Financial Aid Reports, Forms, and Documentation
The incumbent is responsible for reviewing a variety of critical and complex data reports that reoccur on a weekly basis.  Utilizing these various reports, the technician must manually analyze data, resolve inconsistencies in the students' files, adjust student aid as needed, request new Institutional Student Information Record, gather additional information from various sources including California Student Aid Commission's WebGrants, National Student Loan Data System, Common Origination and Disbursement, Department of Education, Information for Financial Aid Professionals & Electronic Loan Management websites.

  • ISIR Suspense Management Detail Report
  • Auto ISIR Report
  • Weekly Cal Grant Reports
  • Overaward Report
  • Residency Discrepancy Report
  • Less than 3 term enrollment Report
  • Authorization Failure Report
  • PeopleSoft Checklist:  Loan Aggregates, Selective Service, Citizenship
  • Census Report 
  • Change of Status Forms
  • Packaging revisions
  • Dependency Status Report
  • Other Miscellaneous Reports as needed

 Other Duties as assigned such as but not limited to:

  • Financial Aid Committee work
  • Off campus financial aid workshops/presentations (CA Driver's License and Completion of Defensive Driving Training Required)

May be required will perform additional duties as assigned by the immediate supervisor or management which can include but is not limited to federal, state and/or institutional program coordination/support.

Knowledge and Abilities

  • Working knowledge of the practices, procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management.  General knowledge of research and interview techniques; and of the principles of individual and group behavior.
  • Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multisexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.  Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.

Possession of these knowledge and abilities typically is demonstrated through the Experience requirements below.

  • Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master's degree in a job-related field may be substituted for one year of the professional experience.


  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU
