RECREATION INTERNSHIP Part-Time Town of Christiansburg Department of Parks and Recreation
JOB SUMMARY The Recreation Intern performs customer service functions, assists staff and department management with routine clerical/administrative tasks and assists with the coordination of facility use and maintenance of recreational facilities.
ESSENTIAL FUNCTIONS • Answers telephone calls and greets visitors; ascertains nature of business, directs callers/visitors to appropriate personnel, and records/relays messages; initiates and returns calls as necessary. • Performs customer service functions in person, by phone, or by mail; provides information or assistance regarding department services, activities, forms, procedures, fees, or other issues; responds to routine questions and complaints, or requests for service; researches problems and initiates problem resolution or refers complaints/problems to the appropriate personnel • Performs data entry functions by keying in data into computer system; enters, retrieves, reviews or modifies data in computer database; verifies accuracy of entered data and makes corrections; purges old data as appropriate; makes copies and distributes to appropriate parties; maintains copies in department manual files • Processes incoming/outgoing mail and packages; sorts, organizes, opens, and/or distributes incoming mail and packages; coordinates with carrier for pickup • Assists department management with routine clerical tasks; makes copies; receives and sends faxes etc. • Prepares, types, proofreads, and receives various forms, reports, correspondence, logs, invoices, personnel forms, budget documents, background checks, newsletters, policies, procedures, directories, reference materials, check requests, purchase orders, check refunds, charts, graphs, spreadsheets, brochures, or other documents; forwards or retains as appropriate • Promotes, assists, and supervises recreation and fitness programs and activities • Organizing and distributes schedules for activities • Administers policies with respect for scheduling, safety, and insurance • Assists with the coordination of facility use; master calendar; schedules facility rentals; prepares for scheduled events; sets-up meeting rooms and sports courts; decorates for special events and maintains related documentation • Assist with the maintenance of recreational facilities; conducts regular inspections of facilities; assists with scheduling of required maintenance and repairs for the facility. • Prepares or completes various forms, reports, accident reports, daily facility maintenance reports, purchase orders, check requests or other documents. • Receives various forms, reports, attendance reports, registrations, checks and money, policies, procedures, catalogs, manuals, rules or other documentation; reviews, completes, processes, forwards or retains as appropriate. • Communicates with supervisor, Town employees, Town officials, law enforcement, participants, volunteers, the general public, or other individuals as needed to coordinate work activities, review status of work, exchange information, resolve problems, or give/receive advice/direction. • Operates a personal computer, general office equipment, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software. • Help with the operation of the Christiansburg Recreation Center, Harkrader Sports Complex and any other recreational items that may be deemed necessary for the success of the intern and Department of Parks and Recreation. • Performs other related duties as required

JOB CONTEXT The Intern for Parks and Recreation normally works with a varied work schedule, some of which include evening and weekend hours. Tasks require the ability to exert very light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station. Essential functions are regularly performed without exposure to adverse environmental conditions. WORK PERFORMANCE The Intern for Parks and Recreation is required to follow departmental expectations and adhere to all rules, regulations, policies and procedures in the Town of Christiansburg Personnel Handbook. Work performance is reviewed utilizing the Town’s employee performance review program following first 6 month probationary period. During this probationary period, the Recreation Assistant for Parks and Recreation must demonstrate a strong understanding of all that the job requires.
JOB REQUIREMENTS Licenses and Certifications • Valid, Virginia’s driver’s license with the ability to meet/maintain Town insurability requirements • May be required to possess and maintain certification of Notary Public • Will be required to possess CPR, First Aid and AED
KNOWLEDGE, SKILLS AND ABILITIES Knowledge: Upon Hire • Must be able to type • Basic knowledge of office procedures • Well-developed interpersonal skills After Hire • Community recreation programs and their administration • Word processing software being used by the Town • Town personnel policies • Knowledge and understanding of Active Net Recreational software Skills and Abilities: Upon Hire • Excellent verbal and written communication skills • Ability to maintain professional and courteous relationships with internal and external customers, vendors and staff • Well -developed interpersonal skills • Supervise Part Time employees • Basic math skills with the ability to add/subtract/multiply/divide; the ability to calculate decimals and percentages; utilize principles of fractions and interpret graphs • Ability to determine, calculate tabulate, or summarize data/information, including performing subsequent actions in relation to these computational operations • The ability to operate , maneuver, and/or control the actions of equipment, machinery, tools, and /or materials used in performing essential functions • Ability to carry out instruction furnished in written, oral, or diagrammatic form; involves semi-routine standardized work with some latitude for independent judgment concerning choices of action • Ability to apply principles of personal persuasion and/or influence over others in coordinating activities of a project, program, or designated area of responsibility • Ability to provide guidance, assistance, and/or interpretation to others regarding the application of procedures and standards to specific situations • Ability to utilize a wide variety of reference, descriptive, and/or advisory data and information • Ability to perceive and discriminate sounds , and visual cues or signals; Some tasks may require the ability to communicate orally SAFETY The employee shall adhere to Town of Christiansburg policies regarding safety precautions and the use of safety equipment that is necessary for the health and safety of all employees and citizens.
