Job Description

Employment Status: Full­-time, "Exempt" Probationary position with the possibility of becoming permanent.
Work Schedule: Work hours to be determined upon hire, hours will vary depending on need Monday­ Friday 7:00 AM­ 7:00 PM. Including occasional nights and weekends as needed.

About the Unit: Academic Advisors at CSUSB assist students in the development and implementation of meaningful academic, personal, and career plans that are strengths based, equity minded and compatible with their individual goals. The key goals of academic advising are: 1) timely graduation, 2) knowledge of university policies and procedures and engagement with resources, and 3) knowledge of personal, academic and career options and pathways.

Student Services Professional III: 
Under general direction, the Student Services Professional III (SSP III) performs complex Student Services Professional work characterized  by independent student advisement and guidance in  individual and group settings. Such advisement involves basic counseling  techniques and may concern  career, academic, learning, campus life and/or related issues. Incumbents in this classification spend substantial portions of time in advisement sessions of considerable duration and utilize skills usually gained in graduate courses in counseling and guidance, human relations or related fields. This level is further characterized by assignments requiring the application of a high degree of judgment, or persuasiveness, imagination and professional skills and knowledge in a specified program or service area, as well as a general understanding of the interrelationships and the need for coordinated action within the total Student Services program. This level requires considerable administrative planning to develop creative solutions which integrate approaches across organizational lines. At this level, there is also the responsibility for recognizing specific program needs and for developing approaches for possible implementation to meet these needs.

Duties may include, but are not limited to, the following: 

  • Under general supervision of the Dean of Undergraduate Studies and the Director of University Honors, the SSP III is responsible for improving retention, reducing time to degree and resolving issues impeding graduation for freshman and transfer cohorts using a wide variety of campus data platforms and reports;
  • Works collaboratively with college-­based graduation and retention specialists, department­-based staff and faculty advisors, department chairs, associate deans to achieve University graduation and retention goals;
  • Maintains a comprehensive working knowledge of University policy and procedures as well as degree requirements across all disciplines;
  • Disseminates reports and data to the Dean of Undergraduate Studies and the Director of University Honors and conducts follow­up as needed;
  • Confers with the  Dean of Undergraduate Studies and the Director of University Honors on cases requiring additional support or exceptions;
  • Conducts ongoing analysis of retention and deferred  graduation data to identify common trends and issues and makes solution­centered recommendations to decrease rates of recurrence;
  • Provides academic advisement and information on university policies, procedures, resources and graduation requirements to assist  students with the resolution  of graduation or enrollment obstacles;
  • Uses a preventative approach in solving problems impacting retention and graduation and provides multiple solutions when appropriate;
  • Exercises sound and ethical judgment in adherence with Title V regulations in the creation of specific action plans for degree completion and effectively communicates this information to students and university personnel;
  • Serves on University­-wide committees related to retention and graduation goals and initiatives;
  • Supports advising, retention and graduation efforts including short­term deployment to academic support service areas on campus as needed;
  • Performs other duties as assigned. 

Knowledge & Abilities:

  • Thorough knowledge of the principles, practices and trends of the academic advising field as well as thorough knowledge of the policies, procedures and practices of the program area that impact retention and graduation, including student success practices.
  • Thorough knowledge of the principles of individual and group behavior and individual counseling techniques.
  • Thorough knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific college to which the position is assigned.
  • Working knowledge of degree requirements including major and general education, across the university.
  • Ability and specialized skills to analyze diagnose complex procedural problems or situations accurately and make recommendations for improvement.
  • Advise a diverse population of students individually and in groups on routine and exceptional student­related matters.
  • Determine appropriate courses of action and proper techniques to utilize to successfully resolve graduation and retention issues and while engaged with individuals in personal interactions of an argumentative or sensitive nature.
  • Interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action.
  • Carry out a variety of professionally complex assignments without detailed instructions.
  • Reason logically and ethically carry out responsibilities.
  • Collaborate and maintain effective working relationships with various Academic and Student Affairs units.

Education & Experience:

  • A Bachelor's Degree or equivalent from a four­-year college or university in a related field (including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution) AND the equivalent of three years of progressively responsible professional student services work experience. 
  • A Master's Degree in Counseling, Clinical Psychology, Social Work, or directly related field may be substituted for one (1) year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three (3) years of experience for positions with a major responsibility for professional career or personal counseling.

Preferred Qualifications:

  • One (1) year in the program area to which assigned.
  • The ability to operate standard office equipment and software including PeopleSoft.
  • EAB, CSUSB Student Success Dashboard, and Microsoft Office (Access, PowerPoint, Excel, and Word).

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.
