Job Description

Reporting to the Sr. Director, Quality this individual will provide administrative support for quality area activities, as well as coordinate the production and revision of newsletters, Web pages and other materials. 

Some responsibilities include:

  • Provide primary administrative support for area activities and Quality Cabinet, including meeting scheduling, planning and coordination.
  • Coordinate council/section, quality cabinet, learning session, and other meeting arrangements and compile the agenda books and materials associated with these meetings.
  • Compile minutes for council/section, quality cabinet, and staff meetings as requested.
  • Coordinate all aspects of meeting planning, including working closely with meeting services, monitoring travel itineraries for arrival dates/times of members, and contacting hotel personnel with meeting updates. Secure arrangements for council/section, quality cabinet, learning session, and other meeting dinners.
  • Provide support to the staff team assisting staff with mailings, creation and updates of various e-mail lists and listservs, creation of newsletters, Web pages and maintenance of these pages on the Member Center, as well as the public site, and general communication with council/section executive committees and members.
  • Manage and serve as the point of contact for all web-based tools such as survey monkey, magnet mail, web port, etc. Serve as area SharePoint lead.
  • Provide project specific administrative support to area programs and various grant related activities.
  • Assist Director in developing and monitoring area budgets.
  • Examine and approve expense reports from members.
  • Process correspondence, typing, faxing, filing, and copying for area staff. Work with print shop staff to coordinate the assembly of materials for mailing.

 

Qualified candidates will possess the following:

  • Bachelor’s degree in business administration, communication, or related discipline required, or an equivalent combination of relevant education and work experience.
  • At least 1 year general administrative experience required, preferably including budget coordination or tracking and meeting planning.
  • Strong technical acumen essential with proficiency in MS Office (Word, Excel, PowerPoint) required; experience with databases (ie, MS Access) and web software (ie, SharePoint) highly desirable.
  • Some overtime may be required.
