Administrative and project support role to the Chief Administrative Officer/SVP, Human Resources and Corporate Services with excellent entry-level opportunity to work on multi-faceted human resource activities within the area. Addition to our team will have pleasant demeanor with diplomatic customer service skills, ability to maintain confidential information, ability to multi-task in fast paced environment, and technology savvy to navigate MS Office, web maintenance software, and HRIS database system (ADP).
Some duties/responsibilities of this role include:
Coordinate and facilitate communication and workflow between the SVP and department staff, including obtaining necessary approval signatures, completing timesheets, scheduling meetings, information gathering, etc.
Provide administrative support to the SVP, including managing calendar of appointments, preparing meeting materials, drafting correspondence, coordinating travel arrangements, and processing expense reports and credit card statements.
Coordinate the development of annual budgets utilizing the AAP’s budgeting software.
Schedule meetings and prepare and distribute agendas.
Respond to routine HR-related inquiries and escalate calls to appropriate staff as necessary. Provide phone coverage for HR team and serve as back up receptionist as needed.
Assist with maintaining HRIS data and processing/reviewing payroll reports.
Assist with AAP-wide recruitment and onboarding activities.
Assist with the development and implementation of employee activities and engagement initiatives.
Assist with benefit administration, professional development, and other HR activities and special projects as needed.
Qualified candidates will possess:
Bachelor’s degree in human resources, business, communications, or related field required, or an equivalent combination of relevant education and work experience.
2 years related general administrative experience required.
Experience creating and maintaining electronic documents, maintaining websites, and budget tracking strongly preferred.
Experience working on HR-related activities and within a non-profit or medical association highly desirable.
Excellent interpersonal, written/verbal communication, customer service and organizational skills required.
Proficiency with MS Office (Word, Excel, and PowerPoint) required; experience with web maintenance software (ie, SharePoint) highly desirable.
