The Communications Specialist for the Office of Communications and Marketing is responsible for a broad range of highly skilled communications and administrative duties in support of the College’s communications and marketing activities, which include publications, design, visual media and digital media. The individual in this position must possess excellent written and verbal communication skills, outstanding organization of—and experience with—project tracking, meeting coordination, an understanding of desktop publishing and broadcast email marketing fundamentals and software, the ability to meet deadlines and balance multiple priorities, the ability to think logically and creatively, and a willingness to work in a collaborative, diverse and fast-paced work environment. The position reports to the Assistant Vice President for Communications and Marketing/Chief Communications Officer and also provides essential day-to-day administrative support to the AVP and the department.

Summary of Job Responsibilities:
COMMUNICATIONS AND MARKETING PROJECT MANAGEMENT
EMAIL MARKETING - Oversee and manage email marketing for the College (Salesforce Marketing Cloud) in coordination with various campus users, receive email marketing requests, maintain deployment calendar and project timelines, collect copy, assist with list/data extension creation, design layout, edit drafts and oversee proofreading process, enforce deadlines, deploy email marketing campaigns, maintain archives, statistical reporting and analysis, pull bounce lists as needed, maintain header image library, create new user accounts and assist Advancement Services with trouble-shooting issues
CONTENT PRODUCTION – In conjunction with other members of the Communications and Marketing editorial team, write, edit and review content for a variety of communications, including both print and interactive vehicles.
PHOTOGRAPHY BOOKING AND ARCHIVING- Oversee and manage photography booking, briefs, job estimates, and serve as liaison to photographers, enforce photography policies/deadlines, annually update required photographer agreements, create/maintain annual photography budget and calendar, schedule and coordinate faculty/staff portrait sessions, research new photographers for freelance pool, process/forward invoices, oversee and manage photography archives, receive digital photos/contact sheets from photographer, keyword and upload to server/online database/Flickr
PROJECT MANAGEMENT SYSTEM - Oversee traffic management through project management system (FunctionPoint), creation of new jobs and accounts, schedule template updates, training of new staff and partners; serve as liaison to FP support; troubleshoot issues and brainstorm new ways to best utilize FP
HMC MERCHANDISE – Approve student worker(s) timesheets, create UPC codes for new products, maintain product and descriptions document, generate monthly sales tax reports and manage inventory tracking
Submit invoices, make purchases, process check requests, journal vouchers, travel reimbursements and other financial documents
Oversee, maintain and organize office equipment and supplies
Manage filing, archives and record-keeping, data entry
Prepare routine and special business correspondence, answer phones, email
Follow unit and departmental policies and procedures
Manage and update internal team calendar with relevant upcoming events, assist with scheduling for AVP, room reservations and coordinate weekly staff meetings including scheduling, agenda preparation, reminders for agenda item submissions and action item follow-up
Maintain and control confidential files
Perform other duties and tasks, as assigned
Summary of Qualifications:
Education and Experience:
Education: Bachelor’s degree in marketing, communication, journalism, public relations or related field; or a combination of education, training and relevant experience that provides the required knowledge, skills and abilities of the position.
Experience: One to three years of experience that provides the knowledge and skills required. Experience in a development and/or communications unit, particularly of a college or university.
Licenses/Certificates: Possess and maintain a valid driver’s license and a driving record-acceptable to the College’s automobile insurance carrier.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Individuals must possess the knowledge, skills and ability to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed.
Macintosh platform experience required, experience and knowledge of other systems such as Windows. Working knowledge of standard office productivity software and desktop publishing software (Word, Excel, PowerPoint, Adobe Acrobat). Familiarity with Creative Suite (InDesign, Photoshop, Bridge), a plus.
Detail-oriented with excellent organizational skills and project management skills, and the ability to prioritize and meet a variety of continuous deadlines. Ability to work independently and manage multiple tasks effectively.
Strong interpersonal, written and verbal communications skills. Proven expertise in editing and writing, able to adhere to HMC’s print and web-related style standards.
Demonstrated telephone and customer service skills that convey a professional image; and the ability to effectively interact with internal and external constituents.
Ability to apply basic math and budget monitoring procedures in maintaining financial/budget records. Statistical experience for analytics, a plus.
A willingness, ability and desire to learn the latest web technologies. Familiarity with HTML, web content management systems and broadcast email marketing tools helpful.
Ability to thrive in a collaborative team environment and interact successfully with individuals with varying abilities, backgrounds, interests and beliefs.
Ability to work occasional weekends or evenings.
Ability to direct the work of student workers.
Read, write legibly, speak and follow written and oral instructions in English.
