Job Description

Employment Status: Full-time, probationary, "non-exempt" position.

Work Schedule: Monday-Friday 8:00 AM - 5:00 PM; Some evenings and weekends may be required. The work schedule for this position during the summer months is Monday through Thursday from 7:00 AM - 5:30 PM (30 minute unpaid meal period).


Under general direction, the incumbent will serve as administrative support for the Office of the Associate Provost for Faculty Affairs and Development working with the faculty co-directors of the Faculty Center for Excellence.  Primary responsibilities include providing administrative support for a complex organization including budget management, and coordination of administrative support services for the office.


  • The incumbent must have the ability to execute independent decisions on day-to-day administrative operations for the Faculty Center for Excellence including procurement, travel, and the hire and supervision of student assistants. 
  • The incumbent will also be responsible for the planning and oversight of events and activities that often involve coordination with various academic offices such as the offices of the Provost, the Deputy Provost and Vice Provost for Academic Affairs, Associate Provost for Research and Dean of Graduate Studies, Dean of Undergraduate Studies, academic Deans and other campus and CSU Leadership.
  • The incumbent must have the ability to use campus Enterprise Systems, prepare spreadsheets, and provide budget support with competency in fiscal management.
  • The incumbent will serve as the primary coordinator and scheduler for programing and events organizing at the Faculty Center for Excellence.
  • The incumbent will perform other duties as assigned and will provide backup office support to the Associate Provost for Faculty Affairs and Development, as needed.

Knowledge and Abilities: 

  • Experience to be fully functional in all technical aspects of work assignments.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. 
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Effectively write and present own reports, minutes, and other documents in a professional manner. 
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist. 
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.


  • High School diploma or equivalent. 
  • Equivalent to a Bachelor's degree from an accredited four year college or university is preferred. 

The equivalent to three years of experience in general office clerical work is required. 


A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
