Job Description

The Senior Administrative Assistant position performs advanced administrative duties requiring relevant skills, experience, and knowledge of company policies and practices.  This position also performs day-to-day administrative duties, including clerical, reception, and project-based work.

Job Functions and Responsibilities:

Under general supervision, the Senior Administrative Assistant performs some combination of the following job functions:

  • Responds to inquiries received via phone, mail, and email or appropriately routes them to more senior employees
  • Organizes and maintains paper and electronic files
  • Performs general administrative duties such as copying, faxing, and filing
  • Tracks and purchases office and kitchen supplies after receiving purchasing approval
  • Maintains conference rooms, kitchens, and common areas
  • Coordinates with other administrative staff to ensure reception coverage during vacation, sick leave, and/or meal breaks
  • Manages calendar appointments and schedules meetings
  • Assists other administrative team members with various duties
  • Conducts internet research, summarizes findings, and makes recommendations
  • Participates in planning company events
  • Serves as an administrative liaison with internal and external clients
  • Inputs, maintains, and verifies accuracy of data
  • Drafts, formats, copy-edits, proof-reads, and fact-checks memos, reports, presentations, spreadsheets, and other documents
  • May assist with special projects such as conducting compliance tests of documents using Section 508 accessibility standards or coordinating the company’s Institutional Review Board (IRB) activities
  • Assists with developing and improving company document templates
  • Mentors and trains Administrative Assistants

In addition, the Senior Administrative Assistant:

  • Complies with company policies and with applicable laws and regulations
  • Demonstrates professionalism in the workplace
  • Performs other duties as assigned

Qualifications Required:

Education and Experience:

  • High school diploma and some college-level course work
  • 1 – 2 years of relevant work experience

  • Courteous and professional in person and on the phone
  • Strong organizational skills and attention to detail
  • Strong oral and written communication skills
  • Experienced in Microsoft Office Suite
  • Experienced in prioritizing tasks and meeting deadlines in a fast-paced environment
  • Experienced in working in a team-oriented environment
  • Experienced in demonstrating critical thinking and problem-solving
  • Excellent information-gathering and analysis skills
  • Experienced in maintaining confidential records and information
  • Experienced in training others on basic office equipment such as fax machine, copier, etc.
  • Able to demonstrate integrity, flexibility, professional judgment, and collaborative approach to work
  • Able to work occasional evenings and weekends
  • Familiar with department and company policies and procedures
  • Familiar with recruiting, training, and mentoring employees
  • Familiar with supervisory practices and coordinating work among employees
  • Familiar with budgeting principals
  • Familiar with service contract requirements and verifying invoices

  • Interest in health and social policy
  • Able to lift 20 lbs. and sit for long periods of time
