Overview

Basic Function: Responsible for assisting with all activities associated with monitoring purchasing at the unit level. This will include, but not limited to collaborating with the culinary teams at the various Campus Dining locations to streamline food procurement, ensure accurate inventory management and focus on primary vendors. Main backup to Food Management System Administrator focusing on the maintenance of existing food management system, and potential transition to a new food management system. Support to Campus Dietitian not just through purchasing and the food management system by ensuring compliance with dietary guidelines in the development of menus, but will also assist with training of the campus dining team on allergens, and responding to students with dietary inquiries.



Responsibilities

Principal Duties and Responsibilities:

 

Food Management System

 

  1. Support Food Management System Administrator performing weekly start up, assisting with inventory reconciliation, production run and other duties as needed.
  2. Work with culinary teams on menus to ensure that specific dietary needs are available, to ensure optimal health outcomes for students are met.
  3. Work with Sustainability Manager on reduction of food waste by providing necessary data from food management system.

 

Dietary

 

  1. Supports Campus Dietitian, through Food Management System, in recipe and signage review to ensure that allergens are properly listed.
  2. Conduct assessments, and maintain documentation on location dietary assessments.
  3. Provide training as needed for Campus Dining team on allergens, and dietary descriptions.
  4. Support students as needed, follow up on students’ individual health status, their own personal goals and dietary restrictions.

 

 

Purchasing

 

  1. Responsible for monitoring the purchasing of all food and non-food supplies necessary to operate Princeton University’s Dining Services.
  2. Assists with the auditing of purveyor performance to determine successful completion of orders with respect to price, specifications and other contract provisions.
  3. Maintains files relating to product trends, availability, inflation, technology and price.
  4. Maintains the accuracy of computerized food item data file updating as necessary. Assists with the maintenance of the computerized purchasing system for both food and non-food supplies including requisitions, orders, receiving reports, specifications invoices, unit discrepancy reports, and other reports.
  5. Track local produce/products based on departmental purchases, based on sustainable guidelines and initiatives.

 

Other Duties

 

  1. Receives visitors, answers telephones, reviews inquiries and provides information regarding policies and procedures requiring knowledge of both assigned and related work areas.
  2. Attend various working group meetings, and assist in campus dining special events as needed.
  3. Provide information to campus dining marketing manager as required.



Qualifications

ESSENTIAL QUALIFICATIONS

 

Minimum Required Knowledge, Skills & Experience:

  1. Ability to plan and coordinate the work in an office environment.
  2. Ability to maintain confidentiality.
  3. Sensitivity to students and Princeton University.
  4. Ability to interact with dining unit managers and vendors.
  5. Ability to work with Microsoft Office, Excel, Access, Word, and PeopleSoft.
  6. Ability to complete accounting assignments (reports, billings, etc.) with necessary math calculations.
  7. Excellent oral and written communication skills.
  8. Must be able to function in an essential personnel role, which may include an extended on-campus presence during local, regional, or national emergencies. (https://hr.princeton.edu/policies/essential-services-during-emergencies-or-other-conditions)
  9. Valid Driver’s License.

 

 

 

PREFERRED QUALIFICATIONS

  1. Experience with purchasing, invoicing and working with vendors
  2. Willingness to participate in Campus Dining events throughout the year
  3. Registered Dietitian
  4. Bachelor’s degree
  5. Knowledge of food management system a plus
