Job Summary Directs and coordinates on-site administrative support to a complex contract, project or tasks for maximum utilization of services. Principal Accountabilities Supervises administrative staff in support of business requirements such as processing timesheets, expense reports, etc. to ensure effective efficiencies in compliance. Plans and coordinates office services and related activities, including the development and supervision of programs for the maximum utilization of services and equipment. Manage the visitor flow, SparePoint sites, support preparation, submission of reports as directed by upper management. Analyzes and organizes office operations and procedures such as preparation of timesheets, personnel, information management, filing systems, requisition of supplies and other clerical services. Plans and conducts meetings, including automated meetings capabilities such as Skype, WebEx, and similar audio video capabilities. Ensures compliance with company policies, procedures and other practices set forth by upper management. Oversees the compiling, preparing and accuracy of invoices for assigned area. Plans, prepares, and coordinates upper management's travel activities, schedules and provides similar travel support information, and coordinates press interviews and special events. Maintains and tracks costs and performance on contracts. Arranges programs, events or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers and controlling event budget. Ensures compliance with company policies, procedures and other practices set forth by upper management. Consults with program management to gather information about program needs, objectives, and function's features for compliance. Status first line management on a regular basis. Creates, maintains, updates and reconciles spreadsheets to support reporting and analysis for Senior Executive Management approval. Responds to requests from SBU or SBA regarding best practices in an advisory capacity. Knowledge & Skills Demonstrate proficiency in Microsoft applications (i.e., Excel). Strong analytical and organizational skills to oversee multiple work assignments. Excellent writing skills. Excellent communication, effective leadership and interpersonal skills. Able to travel internationally if required for position. Knowledge of functions and operations of United States Military Commands preferred Experience & Education Bachelor's degree in an associated discipline. Two (2) years of experience in related field may be substituted for each year of the four (4) years college. Four (4) years progressive experience in business occupations is required. Previous government services industry-related experience preferred. Physical Requirements/Working Environment Work in an office environment in Iraq which may be in austere conditions Must be able to deal successfully with the stress of a combat environment and potential high risk to personal safety for prolonged time periods. Work week is typically 5 days per week with a minimum of 8 hours per day.
