The Executive Office division of the American College of Physicians (ACP) is looking to hire a Coordinator, Board of Governor (BOG) Relations to work in its Philadelphia office. ACP, a national organization of internists, is the largest medical specialty organization and the second-largest physician group in the United States with 152,000 members worldwide. The Coordinator, BOG Relations supports all Board of Governor related elections as well as in-house department committee meetings, including webinars, and provides broad administrative support to the BOG and Chapter Activities department. Primary responsibilities include, but are not limited to: Creating and adhering to a year-long, multi-step timeline for various elections while following all election policies and procedures Editing and proofreading election materials for grammar and consistency in formatting Performing mail merges to produce mass mailings related to elections Communicating effectively with vendors, ACP members, and College staff at all levels Utilizing Drupal to keep online content updated Coordinating logistics for in-house committee meetings and webinars Working with department management on tracking the budget and processing expenses Providing administrative support to the department, including overseeing the record retention schedule, maintaining files, tracking inventory of supplies and placing orders, and handling other operational duties as needed A bachelor’s degree is strongly desired, with at least 2-4 years of administrative support experience, preferably with a non-profit association. The successful candidate will have: Excellent verbal and written communication skills, with an emphasis on great customer service Advanced PC and Microsoft Office skills, and the ability to learn new software programs Editing and proofreading skills, with strong attention to detail Demonstrated project management and organizational skills Competency using WebEx or other webinar service to facilitate meetings Familiarity with Drupal and/or FogBugz (preferred) ACP offers a competitive salary, superior benefits and a supportive work environment.
